Malabar Hill, Mumbai
Overview
We are seeking an experienced and highly professional Facility Manager to oversee the overall maintenance, operations, vendor management, and infrastructure management of a prominent multi-floor residential property in Malabar Hill, Mumbai. The ideal candidate will be responsible for ensuring the property operates efficiently, safely, and to the highest standards while managing service providers, maintenance schedules, budgets, and compliance requirements.
This position requires a proactive individual with strong leadership, technical knowledge, and operational management skills who can coordinate multiple stakeholders and ensure seamless facility operations.
Key Responsibilities Facility Operations Maintenance
  • Oversee the day-to-day facility operations of the property.
  • Conduct regular property inspections to ensure all systems and infrastructure are functioning efficiently.
  • Monitor and maintain electrical, plumbing, HVAC, firefighting, elevators, DG sets, water systems, and other facility assets.
  • Coordinate preventive and corrective maintenance activities.
  • Ensure timely resolution of maintenance issues and service requests.
Vendor Contractor Management
  • Manage and supervise all facility-related vendors, contractors, and service providers.
  • Coordinate Annual Maintenance Contracts (AMCs) and service agreements.
  • Monitor vendor performance and ensure compliance with service standards.
  • Negotiate vendor contracts and optimize operational costs where appropriate.
Housekeeping, Security Support Services
  • Supervise housekeeping, security, pest control, landscaping, and other support services.
  • Ensure high standards of cleanliness, hygiene, safety, and presentation throughout the property.
  • Monitor staffing levels and service quality delivered by outsourced teams.
  • Coordinate security operations and ensure adherence to safety protocols.
Budgeting Administration
  • Prepare and manage facility budgets, operational expenses, and maintenance costs.
  • Monitor petty cash, utility expenses, and vendor payments.
  • Maintain records of contracts, service reports, maintenance logs, and compliance documentation.
  • Generate periodic reports on facility performance and operational status.
Safety, Compliance Risk Management
  • Ensure compliance with all statutory, safety, fire, and environmental regulations.
  • Conduct regular safety audits and risk assessments.
  • Coordinate emergency response procedures and safety drills.
  • Maintain all necessary licenses, certifications, and regulatory documentation.
Asset Inventory Management
  • Maintain records of facility equipment, assets, and infrastructure.
  • Track inventory of maintenance materials, consumables, and spare parts.
  • Ensure timely procurement and replenishment of operational requirements.
Candidate Profile Experience
  • Minimum 8 15 years of experience in Facility Management, Property Management, Estate Management, or Building Operations.
  • Prior experience managing premium residential properties, luxury developments, corporate facilities, hospitality establishments, or high-end estates is preferred.
Education
  • Bachelors Degree preferred.
  • Qualification in Facility Management, Engineering, Hospitality, Property Management, or a related field will be an added advantage.
Skills Competencies
  • Strong knowledge of facility maintenance systems and infrastructure management.
  • Excellent vendor management and contract administration skills.
  • Strong leadership and team management capabilities.
  • Good understanding of safety, compliance, and risk management practices.
  • Excellent communication, coordination, and problem-solving abilities.
  • Proficiency in budgeting, reporting, and operational planning.
Language Requirements
  • Proficiency in English, Hindi, and Marathi is preferred.
