Job Description
Job Summary:
The Export Sales Coordinator is responsible for supporting international sales operations, coordinating with overseas clients, processing export orders, preparing documentation, and ensuring timely shipment and customer satisfaction.
Key Responsibilities:
Sales Coordination
- Handle export inquiries from international customers.
- Prepare quotations, proforma invoices, and sales contracts.
- Follow up with customers for orders, payments, and shipment schedules.
- Maintain strong relationships with existing and new clients.
Order Processing
- Receive and process export purchase orders.
- Coordinate with production, warehouse, and logistics teams for order fulfillment.
- Track order status and ensure timely dispatch.
Documentation
- Prepare export documents such as:
- Commercial Invoice
- Packing List
- Certificate of Origin
- Shipping Bill
- Bill of Lading / Airway Bill
- LC documents (if applicable)
Logistics Coordination
- Coordinate with freight forwarders, CHA, shipping lines, and transporters.
- Monitor shipment schedules and delivery timelines.
- Resolve shipment delays or export-related issues.
Customer Service
- Communicate shipment updates to customers.
- Handle customer complaints and queries professionally.
- Ensure customer satisfaction and repeat business.
Reporting & MIS
- Maintain export sales records.
- Prepare sales reports, shipment reports, and pending payment reports.
- Update CRM/ERP systems regularly.
