Role: Executive Assistant to Senior Leadership

Mode: Work From Office

Type: Full time

Experience: 4 to 7 years

Location: Mumbai, Nariman Point

Working days: Monday to Friday & Alternative Saturday (2nd & 4th Saturdays are off)


Roles and Responsibilities:

  • Manage calendars for leadership prioritising, scheduling, and coordinating high-stakes meetings across time zones with lenders, investors, board members, auditors, regulators, and cross-functional teams.
  • Prepare, compile, and proof-read financial board packs, board presentations, investor decks, executive briefing notes, and talking points ensuring absolute accuracy and executive-level polish before every submission.
  • Monitor and follow up on action items, deliverables, and commitments arising from C-Suite meetings, ensuring timely closure and escalation where needed.
  • Coordinate with auditors, consultants, banks, vendors, and senior stakeholders as required.
  • Support in preparation of management reports, MIS coordination, and financial documentation
  • Coordinate Board and committee meetings, budget review sessions, and leadership offsites managing end-to-end logistics, materials, minutes, and post-meeting action tracking.
  • Act as the primary point of contact and liaison between C-Suite principals and internal departments (Finance, Treasury, Legal, HR, Investor Relations) as well as external stakeholders, clients, and Board members.
  • Handle all domestic and international travel arrangements for the senior leadership including visas, itineraries, accommodation, transport, and entire expense reconciliation.
  • Draft, review, and manage executive correspondence, internal communications, and stakeholder responses on behalf of the CFO with the highest degree of professionalism.
  • Manage and safeguard confidential financial documents, board resolutions, compliance reports, contracts, and personnel records with absolute discretion at all times.
  • Serve as the central coordinator for administrative processes across the executive floor overseeing office procurement, vendor management, facility coordination, and day-to-day operational continuity.
  • Supervise, guide, and mentor junior administrative staff; provide coverage across the administrative team during peak periods or planned absences.
  • Proactively identify process inefficiencies across operations and implement improvements to enhance executive productivity and organisational effectiveness.

Required skills and qualifications:

  • Bachelors degree in business administration, Management, Communications, or a related field — required.
  • MBA or certification in Executive Administration or relevant executive administration certification preferred
  • Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
  • Exceptional interpersonal skills and professional demeanor.
