Job Description
The Assistant Manager (AM) of Facilities acts as the tactical engine of our 24/5 operations, ensuring that infrastructure and employee services function at peak performance. By providing hands-on leadership across transport, catering, housekeeping, and technical maintenance, the AM ensures that the Saks Global workspace remains a safe, premium, and seamless environment for our workforce, regardless of the hour.
Key Responsibilities:
A. Transport Fleet Management
- Daily Oversight: Manage the end-to-end employee commute program, including roster planning, vehicle dispatch, and real-time tracking.
- Safety Compliance: Ensure all vehicles meet safety standards (GPS, panic buttons, speed governors) and that drivers adhere to the code of conduct.
- Cost Optimization: Review trip data to identify route consolidation opportunities and reduce "empty miles" or vehicle wastage.
- Emergency Response: Act as the first point of contact for transport-related incidents (breakdowns, accidents, or delays).
B. Food Beverage (FB) / Cafeteria Services
- Vendor Management: Monitor catering partners to ensure food quality, taste, and variety meet Saks Global standards.
- Hygiene Audits: Conduct daily inspections of the kitchen, storage, and dining areas. Ensure compliance with food safety certifications (eg, HACCP or local equivalents).
- Employee Experience: Manage feedback loops (surveys/suggestion boxes) and work with vendors to implement menu improvements and festive celebrations.
C. Facility Operations (Hard Soft Services)
- Shift Leadership: Provide onsite leadership during the 24/5 cycle, ensuring night-shift operations are as efficient as day-shift operations.
- Maintenance (MEP): Supervise Electrical, Plumbing, and HVAC (Heating, Ventilation, Air Conditioning) preventive maintenance schedules to ensure zero downtime.
- Housekeeping: Manage the cleaning crew to maintain high standards of office hygiene and aesthetic appeal.
- Inventory Management: Oversee the procurement and stock levels of pantry supplies, stationery, and cleaning consumables.
D. Health, Safety Environment (HSE)
- Compliance: Ensure the facility meets all local fire, building, and safety codes.
- Emergency Preparedness: Assist in conducting fire drills, ERT (Emergency Response Team) training, and maintaining first-aid readiness.
E. Vendor Relationship Performance Management
The Assistant Manager will serve as the primary point of contact for all third-party service providers (Transport, Catering, Housekeeping, and MEP). The core focus is to transition from a "supervision" model to a "performance-driven" model by:

- SLA KPI Governance: Ensuring all vendors meet or exceed Service Level Agreements (SLAs) through daily audits, monthly performance reviews, and data-backed scorecards.
- Cost Compliance Oversight: Monitoring vendor billing for accuracy, optimizing resource allocation (eg, cab occupancy and food waste), and ensuring 100% compliance with statutory and safety regulations.
- Service Excellence: Acting as the bridge between the Employee Committees and vendors to implement feedback-driven improvements in food variety, transport punctuality, and facility cleanliness.
- Contractual Integrity: Assisting the Facility Manager in contract renewals, scope- of-work (SOW) definitions, and identifying cost-saving opportunities through competitive benchmarking.
What You Will Bring:
Technical Skills Experience
- Experience: 10+ years in Facility Management, preferably within a high-growth corporate environment or a 24/7 ITBT company.
- Education: Bachelor s degree or equivalent
- Tool Proficiency: Expertise in MS Office (Excel PowerPoint) and Integrated
- Facility Management System (IWMS/CAFM,BMS) tools.
Core Competencies:
- Operational Excellence: A "hands-on" approach to identifying issues before they escalate.
- Vendor Diplomacy: Ability to manage third-party vendors firmly but fairly to ensure SLA compliance.
- Crisis Management: Calm under pressure; able to make quick decisions during equipment failures or transport delays.
- Communication: Strong verbal and written skills for reporting to senior leadership and interacting with employees.
Key Performance Indicators (KPIs):
- 99% Uptime: For all critical facility assets (Power, HVAC, Internet).
- Zero Safety Incidents: Maintaining a 100% accident-free record in employee transport.
- Budget Adherence: Keeping operational expenses (OPEX) within a +/- 5% variance of the monthly budget.
- Employee Satisfaction: Achieving an 85%+ satisfaction rating in internal facility surveys.
Working Conditions:
- Requires the flexibility to work in rotational shifts to support a 24/5 environment.
- On-call availability required for weekend emergencies or critical maintenance shutdowns.
